As a “Operations Coordinator” with Puilaetco, you will be a key member of the Operations function which, covers in Belgium, three different teams: Back-Office/Middle-Office, Client Data Services and Lending Administration. Puilaetco is the Belgian branch of Quintet Private Bank. Puilaetco’s local Operations team operates from Brussels and consists of 21 colleagues. The Back-office/Middle-office is responsible for the successful completion of clients' cash and securities transactions: transfer, purchase/subscription, sale and redemptions, corporate actions & tax reclaim, safeguarding of assets, reconciliation of nostri accounts, and control of the derivatives margins and private equity management. It is also the go to department for any contact with our cash & securities suppliers/network. The Client Data Services team manages the clients’ and portfolio’ static data and documents (client onboarding and change of circumstances). This encompasses as well the e-banking, the succession, the Fees, the MIFID processes; etc. The Lending Administration team coordinates, in close collaboration with Credit Origination, the full lifecycle of the credit book (contract generation, credit set-up, principal payment and interest follow-up, reimbursement, etc.). All three teams are responsible for regulatory reportings and data quality controls. You will be reporting to the Head of Operations for Puilaetco, who is currently double-hatting with the role of Head of Client Lifecycle Management (CLM).  In this context, your role may also include relevant support in CLM matters. 

Key Accountabilities

 

  • Support transversally Puilaetco’s Head of Operations in the running of the different activities;  
  • Support the department as an internal business analyst or delegate of the Head of Operations, with regards to initiatives around regulatory project, IT migration, process efficiency, new product/service, quality control, reporting to management; 
  • Take the full ownership of the topics you are in charge of; 
  • Act as a SPOC with regards to the interactions with internal or external stakeholders, notably Compliance or Audit functions as well as with the Front teams; 
  • Act as an enabler with regards to the improvement of internal processes, user guides, dashboard, control framework client documentation and training supports; 
  • Support the release management/IT roll-out from a business requirement, testing and change/process management perspectives; 
  • Improve and supervise the monitoring Plan and control framework: ensure an efficient running and reporting; Supervise the regulatory reporting agenda by organising a close follow-up; 
  • Promote a change management culture to succeed full deployment of the key strategic projects; actively participate to relevant projects to ensure the identification and integration of Operations impacts and needs;
  • Provide adequate reporting/escalation to the Head of Operations, COO Team or Country Management Committee where relevant; 
  • Be responsible for the follow-up of operational Operations risk incidents (ERI/audit items, compliance monitoring; etc.); 
     

Knowledge and Experience

 

  • Bachelor's degree required (Master is a plus);
  • A first relevant work experience in the financial sector (preferably experience within private banking).

  • Business proficiency in English.
